Accelerating Digital Workplace Transformation Through Comprehensive Internet Adoption Strategy
Project Background
Network Rail (NR) was transitioning to an advanced intranet platform, expanding connectivity to mobile platforms and introducing personalized user experiences. The mobile accessibility breakthrough was particularly vital for frontline workforce integration, establishing direct communication pathways within decentralized operational divisions, while personalization transformed the intranet into a comprehensive gateway for accessing colleagues, resources, and essential work tools. Powered by SharePoint Online, the platform (MyConnect) represented NR’s inaugural venture into Office 365 implementation and collaborative workflow methodologies. Success hinged on rapid user adoption and seamless integration across NR’s entire workforce.
Our collaboration with NR centered on developing a comprehensive internet adoption strategy anchored by four foundational elements: precision stakeholder outreach, distinctive creative messaging, organization-wide field support, and a dynamic change advocate network. We delivered an integrated perspective on accelerating employee adaptation to the new platform while establishing the groundwork for enhanced digital collaboration capabilities inherent in Office 365.
Our Framework
- We built a 300+ change champion network spanning the organization, incorporating both regional operational staff and corporate personnel. These champions experienced the transformation journey first-hand, positioning them to mentor colleagues and drive adoption momentum.
- Precision stakeholder outreach—we ensured relevant communications reached specific audiences with optimal timing for maximum impact.
- We crafted a distinctive visual brand identity that maintained corporate alignment while differentiating from standard internal communications, ensuring message clarity and audience engagement across all materials.
- We launched a nationwide communication initiative utilizing established high-level channels complemented by localized targeted campaigns operating simultaneously.
- We developed and executed a roadshow featuring dedicated floor support teams to ensure personnel at critical office and operational sites received hands-on training and motivation for platform adoption.
- We produced intuitive, visually-driven user documentation distributed in both digital and print formats across four interface types—laptop, desktop, tablet, and smartphone.
The Impact We Delivered
- Over 50 facilities received direct engagement visits within five weeks—connecting us with approximately 3,000 users. Our reach extended to offices and operational depots, including night shift interactions, demonstrating universal workforce importance.
- Multi-device user documentation enabled all personnel, regardless of location or function, to access and navigate the new platform using their preferred and available devices.
- The 300+ change champion network extended our influence beyond directly visited locations, preparing for and amplifying field engagement activities.
- Experienced, dedicated floor support specialists accompanying all site visits provided proactive troubleshooting for initial user challenges, delivered personalized guidance, and facilitated rapid transition to the new intranet system.
- During initial weeks following the 20,000+ user migration, page engagement and session duration exceeded previous intranet metrics; newly developed regional content generated significant traffic; and mobile device utilization experienced substantial growth.
Through this holistic internet adoption strategy, Afiniti transformed a complex digital migration into a collaborative learning experience that not only achieved immediate platform adoption goals but also cultivated the organizational agility and digital fluency necessary for sustained technological advancement and workforce connectivity.
